Terms & Conditions (Event Agreement and Marketing Consent)

The terms and conditions represent an integral part of this contract between EBC-Slovakia s.r.o. (hereafter „EBCG“), and a client, who by Placing Order fully and without any doubt or uncertainty accepts all following terms & conditions:

Payment Terms  

Upon completion and return of the registration form, full payment is required no later than 5 business days from the date of invoice. Payment of invoices will be subject to a 29 Euro plus VAT if applicable (for EU) or 49 USD (for USA and GCC) per delegate processing fee. Payment must be received prior to the conference date. We reserve the right to refuse admission to the conference if payment has not been received.  

The registration fees includes conference documentation, admission to all conference sessions, lunches & refreshments, admission to networking social breaks during the event, and a networking party. The registration fees do not include travel, hotel accommodation, transfers or insurance. 

Hotel Accommodation 

Overnight accommodation is not included in the registration fee. A reduced rate may be available for EBCG’s clients at the hotel hosting the event. The reservation form will be sent to the client after the venue has been confirmed, but no later than one month before the event begins. 

Cancellation by Client 

The client has the right to cancel his/her participation in the event. Cancellation must be received by EBCG in writing, wither by email or mail. If the client cancels with more than one month’s advance notice before start of the event, EBCG shall be entitled to retain and charge 50% of the total invoiced amount. If the client cancels with on month’s (or less) advance notice, or fails to attend the event, then the client shall not be entitled to any refund not any discount. Client’s failure to attend the event does not cancel, decrease or any matter waives the client’s obligation to fully pay the fee invoiced to the client by EBCG.

Cancellation by EBCG 

While every reasonable effort is made to adhere to the advertised program, circumstances out of the control of EBCG can arise, which may cause changes in the program, including, but not limited to, change in the content, date(s), location or venue, or specified features of the planned event. Such circumstances include but are not limited to acts of terrorism, war, extreme weather conditions, compliance with government requests, orders and legal requirements, failure of third-party suppliers to timely deliver, and failure to register minimum targeted amount of attendees for a given event. EBCG reserves the right to change the content, date(s), location or venue and/or special features of an event, to merge the event with another event, to postpone it or cancel it entirely as a appropriate under the circumstances. Client agrees that EBCG shall not be liable for any costs, damage or expense which may incurred by Client as a consequence of the event being charged, merged, postponements or cancelled and client agrees to hold EBCG harmless and to indemnify EBCG for any liabilities caused by any such changes, mergers, postponement or cancellations to the Client. 

Cancellation of the Event 

In case EBCG cancels the event, EBCG may offer to the client a full credit up to the amount actually paid by the client to EBCG. This credit shall be valid for up to one year from the issue date of the invoice to attend any of EBCG’s events. The client shall not be entities to this credit as a contractual rights.

Privacy Notice and Data Protection Policy 

Please be aware that registration for EBCG event confirms acceptance of this privacy notice: EBCG will be capturing the images of attendees at its events, including its conferences, symposia, webinars, and other virtual events, with photographic and video recording devices to be used for the exclusive purposes of EBCG, including being used for marketing, EBCG website, social media or historical records of EBCG and may be shown to the public at large. EBCG will only process these images of you in support of or furtherance of EBCG. This notice applies to images stored on EBCG central database, as well as, to future images or recordings. Please be aware that EBCG will also at times be using an automated system at conferences or virtual events that allows for the possible audio and/or video recording of lectures and then may make these available on the conference digital application as a learning resource at EBCG’s discretion. Presenters will be forewarned and/or given the option to decline the recording by EBCG of their presentation. EBCG cannot be responsible for the actions of audience participants (for example, personal screenshots, recordings, or mobile photographs).  

EBCG respects the privacy of individuals and their rights to their personal information. EBCG will remove any photographs upon written request by individuals who object to the use of the image where they are recognizable within the image.

Event Newsletters sent from Pipedrive

By agreeing to these terms and conditions, you consent to the processing of your personal data for marketing purposes. This includes receiving information about our conferences, training sessions, and updates from our matchmaking job portal. We will use the contact information you have provided in Pipedrive to send you these communications.

You have the right to withdraw your consent at any time by following the unsubscribe link in our emails or by contacting us directly. Withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.

By providing your consent, you acknowledge and agree to the following:

• Marketing Communications: We will send you newsletters and promotional materials related to our events, training programs, and job portal.
• Data Processing: Your personal data will be processed in accordance with our Privacy Policy, which outlines how we collect, use, and protect your information.
• Right to Opt-Out: You can opt out of receiving these communications at any time without any detriment to your relationship with us.

Clients Identification Information 

By Placing Order of this Contract and accepting these Terms & Conditions the Client gives a full right to EBCG to share the Client’s identification information such as, but not limited to, client’s name, address, email addresses, phone numbers, and names of representatives with third parties, which participated on the same event as the client. 

Governing Law 

This contract shall be governed and construed in accordance with the law of the Slovak Republic (not including its conflict of laws provisions). Any disputed arising out of this contract shall be brought before of the courts of the Slovak Republic situated in the city of Bratislava in the Slovak Republic.  

Registration Decline 

EBCG reserves the right to review and decline any registration at its own discretion.
